We collect the information you choose to give us, such as your name, email address, organisation and the details you include when you contact us or start a conversation through the site. With your consent, we also collect analytics data about how the site is used. Business contact details we obtain from other sources are described under Business Contacts and Marketing.
We use your information to respond to your enquiry, provide the services you ask about and improve the website. We do not sell personal information and we do not use it for automated decision-making.
We also hold contact details for people at organisations we think may be interested in our products and services, so that we can get in touch about them. Some of these details come from third-party business data providers, such as Apollo.io, and some from publicly available sources such as company websites and professional networking sites. The information is limited to what you would expect to find on a business card: name, job title, employer, work email address, work phone number and business address.
We use these details to send occasional emails about Right Prompt and our ServiceNow products and services, and to follow up if you reply. Our legal basis is our legitimate interest in promoting our business to other businesses. We have assessed that interest against your rights and keep a record of the assessment. We do not send marketing to personal email addresses.
Business contact details are held in our customer relationship management system, provided by Salesforce, and in our outreach tools. These providers act on our instructions under written data processing agreements. Group companies in the United Kingdom and India may also have access, as described under International Transfers.
We keep business contact details while we have a reason to contact you, review them at least once a year and delete any we no longer need. away and keep a note of it so that we do not contact you again. If our data provider tells us you have asked them to remove your details, we remove them from our systems as well.
For UK and European visitors we process personal information under the UK GDPR, the Data Protection Act 2018 and the EU GDPR, on the basis of your consent, our legitimate interests in responding to enquiries and in promoting our services to other businesses, and, where necessary, compliance with legal obligations. For visitors in India we process personal information in accordance with the Digital Personal Data Protection Act 2023.
Right Prompt operates in the United Kingdom and India, and information you send us may be accessed by group companies in both countries. Transfers from the UK to India are protected by appropriate safeguards, including the UK International Data Transfer Agreement. Our website is hosted by a third-party provider and data submitted through it may be stored on servers outside the United Kingdom, protected by contractual safeguards; form submissions are passed to us by email and not retained on the website beyond a short period.
